The hire desk

Stop answering the phone to say “no, that’s out”

Most of a hire desk’s day is the same four questions. Have you got one, when can I have it, what does it cost, and when do I have to bring it back. The app answers all four without you.

Live availability, by date

Your real fleet against your real bookings, for the dates the customer actually wants.

  • Availability is worked out from fleet size minus everything already committed over that range — not a stock number someone remembers to update.
  • Machines in the workshop or retired drop out automatically.
  • The same calculation runs at checkout inside a database lock, so two contractors racing for the last digger cannot both get it.

Pricing that does not need a calculator

Day, week and weekend rates, with whole weeks charged properly.

  • Whole weeks are charged at the week rate and the days left over are capped, so a longer hire never costs less than a shorter one.
  • A Saturday delivery of two days or fewer takes the weekend rate.
  • Trade discounts sit on the customer and come off the hire, never off the deposit.

Your opening rules, enforced

Closed Sundays, weekend minimums, Friday overnights. Set once.

  • Nothing goes out on a Sunday and nothing comes back on one, with the single exception of a Friday overnight returned by 8am Saturday — and the customer has to agree to that in writing before they can book it.
  • The rule is applied to the calculated return date, so it catches a Thursday three-day hire as well as the obvious Friday one.
  • Every rule is per-yard. If you open Sundays, turn it off.

Off-hire without a phone call

The contractor stops the clock. You get it on the collection run.

  • A contractor off-hires from their phone and gets a collection reference on the spot.
  • Billing stops that day, so the argument about when they rang does not happen.
  • The job appears on the driver’s run sheet as a collection.

Staying out of trouble

The paperwork that matters when something goes wrong

Nobody enjoys this part. But a lapsed LOLER certificate grounds a machine, and a damage charge without photographs is a conversation you lose.

Every examination against the machine, with a month’s warning before it lapses.

  • Record the examination, attach the certificate, set the next due date.
  • Every morning the system looks thirty days ahead and tells you what is coming up.
  • A machine whose certificate would lapse mid-hire is not offered for that hire at all.

Condition reports, signed at the gate

Photographs and notes going out and coming back, signed by whoever takes it.

  • The driver photographs the machine on their phone before it leaves and again when it comes back.
  • Damage is flagged as it is photographed, so the yard sees it before the deposit is released.
  • Every report is timestamped and tied to the member of staff who filed it.

Know who you are lending to

Photo ID and proof of address, checked and put in front of you.

  • Documents are read the way a forensic examiner would open them: who produced the file, when, and whether it was re-saved after export.
  • The text is pulled off the document, with OCR when it is a photograph, and checked against the name and postcode on the account.
  • You get green, amber or red with the reasons listed. You make the decision, not us.

Documents stored properly

Private storage, never a public URL, visible only to your own staff.

  • ID documents, signatures and damage photographs are on private storage and served through the application.
  • Each file is fingerprinted, so the same utility bill submitted by two different people is easy to spot.
  • Your yard’s data is in your yard’s own database — separated at the database level, not by a column in a shared table.

Getting paid

Deposits held, overruns caught, invoices worked out

A digger leaves your yard on the strength of a card you never charged. This is the part that makes that safe.

Deposits are held, not taken

The card is authorised at booking and only captured if something is wrong.

  • A hold goes on the card when the booking is placed, exactly as a hotel does it.
  • On a clean return the hold is released and nothing is charged.
  • The customer sees the deposit separately from the hire charge, so there is no confusion about what they have paid.

Overruns worked out for you

Late back is charged at the day rate, from the collection, not the phone call.

  • The clock runs to when the machine was actually collected, with a few hours’ grace.
  • Overrun is charged at the day rate — no weekly discount for keeping it past its date.
  • The final figure is written back onto the hire so the invoice writes itself.

  • Search the yards who have opted into the network for the machine you need, for the dates you need it.
  • See what is free, where, and at what rate, cheapest first.
  • Opting in is per-yard and off by default.
